Position title: Senior Coordinator, People Powering Biodiversity
Reports to: Senior Manager People Powering Biodiversity Project

1 MISSION OF THE DEPARTMENT
WWF works to tackle the most pressing issues at the intersection of nature, people, and climate. These include sustaining the natural world for the benefit of people and wildlife, supporting policy-based solutions to address natural resource governance challenges; working to influence new policies, and incorporating best practices on using evidence; all in a manner that creates sustainable and enduring change collaborating with partners from local to global levels. 2 MAJOR FUNCTIONS
Provide operational, administrative and communication support as part of the People, Powering Biodiversity Core Team to enable effective fulfilment and execution of their functions towards the achievement of PPB project objectives; Support the Senior Manager in the fulfilment and execution of their duties and to liaise effectively with other WWF International Divisions, Practices and the WWF Network, as well as external partners and contacts; Assist the Senior Manager and other PPB Leadership in the day-to-day management of the PPB with designated administrative, knowledge management and communications duties.
3 MAJOR DUTIES AND RESPONSIBILITIES
- Perform to the highest professional standards, with tact and diplomacy, considerable independence, diversified secretarial duties and designated administrative duties using initiative and judgement, high-level organisational skills and knowledge of company policy;
- Manage the administration of the Senior Manager and PPB Global team; Organises, prioritises and tracks agenda, meetings, appointments and paper flow, and endeavours to streamline the workload; ensures timely responses to invitations and other requests;
- Provides support for the organisation of virtual and physical meetings, conferences or specific subjects, and coordinates and prepares relevant documents and briefing materials;
- Supports PPB communications and digital presence through maintenance of the Practice internal platforms (Google WorkSpace; WorkPlace) and external platforms (Twitter) and assists in the research, design and production of communication materials including customised PowerPoints, graphics, quarterly updates and annual reports;
- Provides coordination, knowledge management, communications, community management (email listings and groups), including maintaining accessible intranet site, contact listings, information and documents; posting updates on internal social media, maintaining generic email account;
- Supports the Senior Manager and PPB leadership in managing the PPB funds, including co-managing budget spreadsheets, supporting contracting and reporting for fund grantees; requesting, reviewing, and submitting invoices, receipts, and payments to WWF-INT Accounts Payable (AP) and collaborating with WWF-INT AP in addressing discrepancies;
- Organises international and domestic travel for the Senior Manager and PPB Global team, including flights, accommodation and other logistics, and coordinates and prepares documents related to travel, including necessary approvals and authorizations; tracks requisite CO2 information for periodic reporting and to ensure compliance with relevant Network requirements;
- Undertakes other tasks as assigned by the Senior Manager and PPB global team.
4 PROFILE
Required Qualifications.
- Bachelors’ degree or equivalent in relevant discipline;
- Demonstrated successful experience (5 years minimum) as a senior or executive assistant in an international environment;
- Demonstrated communication, coordination and team skills.
Required Skills and Competencies.
- Professional, diplomatic and effective written and verbal communication skills adapted to multicultural and diverse audiences, including high-level executives and government authorities;
- Ability to organise and optimise virtual meetings; Demonstrated experience in organising international meetings including operational aspects and logistics of physical meetings and proven experience in managing large virtual meetings;
- Meticulous attention to detail and follow-up with excellent organisational and prioritisation skills;
- Excellent command of written and spoken English; other languages would be an advantage;

5 WORKING RELATIONSHIPS
Internal.
Under direction of Senior Manager PPB and works closely with PPB Global team; Interacts regularly with PPB Global and Leadership Teams, PPB Country Coordinators, PPB partners; Senior staff at WWF International, Regional Directors, National Organisation Chief Executives and Conservation Directors, Programme Office Representatives and other WWF staff, Network Knowledge managers.
External.
Interacts with partners, donors, service providers, others as required, in fulfilment of duties.
